Information submitted through the inquiry form is accessible to authorized practice personnel through Google Forms and a restricted Google Sheet within our Google Workspace account.
Access is limited through account permissions and two-step verification.

When you follow a booking or client portal link, you are directed to Jane's platform. Information you provide through Jane is handled under applicable service agreements, privacy safeguards, and Nickerson Counselling's clinical privacy practices.
Counselling records, informed consent documents, and clinical information are managed separately from the public website inquiry form.

Although reasonable safeguards are used, ordinary email and telephone communications may carry privacy risks. We encourage you to avoid sending sensitive clinical information through general email or website inquiries.
Where appropriate, clinical information will be discussed or exchanged through more suitable confidential channels.
7. Information Retention and Disposal
Personal information is retained only for as long as reasonably necessary to respond to inquiries, meet legitimate business needs, or comply with applicable legal and professional obligations.
General inquiry submissions are reviewed and removed from active Google Forms and Google Sheets records when they are no longer required, subject to applicable retention requirements.
If an individual becomes a client, relevant information may be maintained within the practice management system according to Nickerson Counselling's clinical recordkeeping policies.
Electronic deletion may not immediately eliminate information from service-provider backups, version histories, or other retention systems.

Nickerson Counselling uses reasonable administrative and technical safeguards designed to protect personal information against unauthorized access, use, disclosure, alteration, and loss.
These include restricted access to practice accounts, two-step verification, and limiting the collection of personal information to what is necessary for the intended purpose.
